Outlook sometimes showing Updating Inbox 3.99 GB though it was already - Microsoft Community


hi,

users facing issue in outlook 2013 or 2016. users assigned o365 license.

outlook profile configured earlier , mail downloaded per duration. later after 1 day showing updating inbox(3.99 gb)/ updating folder , new mail not getting updated.

facing issue since long day without resolution. user had wait till download complete.

unable find suitable answer in forum.

please help.

when synchronize exchange mailbox offline folder file (.ost), outlook status bar never shows higher 3.99 gb when folder being updated. here of several options can follow resolve issue:

1. do nothing

since problem occurs during initial synchronization of .ost file, if wait synchronization finish, problem should go away.

if elect nothing, time synchronize large folder may take longer anticipated. if time synchronize large folder taking longer desired or if never synchronizes, please consider using 1 of following 2 methods.

2. reduce size of folder contents

option reduce size of larger folders either archiving items or moving them other (smaller) folders in mailbox. best way clean mailbox in situation use either online mode profile, outlook web access (owa), or outlook web app (owa) reduce size of folder.

can use following steps determine size of folder in exchange mailbox.
1. right-click folder in navigation pane , click properties.
2. on general tab, click folder size.
3. in folder size dialog box, select server data tab.

size of folder shown size of subfolders.

3. create synchronization filter large folders @ or near 4 gb

can instead create synchronization folder limits number of items synchronized exchange mailbox .ost file. criteria used synchronization folder should written ensure amount of data synchronize less 4 gb. example, following steps show how create synchronization filter causes outlook synchronize items received in last 6 months.

1. right-click folder in navigation pane , click properties.
2. on synchronization tab, click filter.
3. on advanced tab of filter dialog box, click field, point date/time fields , click received.
4. in condition box, select on or after.
5. in value box, enter 6 months ago.
(take note can use other descriptive text in value box criteria. example, can use 1 year ago filter on mail received within past year.)
6. click add list, , click ok.
7. note information provided in prompt advising events take place filter applied folder, , click ok.
8. click ok in properties dialog box folder.

when outlook performs next synchronization of folder, following actions occur due synchronization filter:

•any new or modified items synchronized folder.
• items matching filter criteria synchronized folder in .ost file.
• items in folder not meet synchronization filter criteria removed .ost file (they will, however, remain in mailbox on exchange server).
